Tipi Village Experience

The Whitecourt ISGA Tourism Association (WITA) is committed to upholding the values of privacy, respect, and cultural care in every aspect of the Tipi Village experience. This Privacy & Confidentiality Agreement outlines how your personal information will be collected, used, stored, and protected when you book and attend our events.
By booking a visit to the Tipi Village, you acknowledge and agree to the following:
1. Collection of Personal Information
We may collect personal information from you at the time of booking, including but not limited to:
Full name
Contact details (email, phone number)
Emergency contact information
Health or accessibility needs (if disclosed)
Names and ages of accompanying children (if applicable)
This information is collected solely to ensure a safe, respectful, and culturally appropriate experience for all guests.
2. Use of Information
Your personal information will be used to:
Communicate important updates or changes to your booking
Prepare for your visit and accommodate any special requests
Ensure health, safety, and emergency protocols can be followed
Maintain internal records for program development and evaluation
Your information will not be sold or shared with any external parties without your written consent, unless required by law.
3. Documentation and Recordings
By participating in the Tipi Village experience, you understand that photos, videos, and audio recordings may be taken. These may be used by the Whitecourt ISGA Tourism Association in ways that celebrate and promote Indigenous culture and education.
You have the right to opt out of media participation. Please let our staff or helpers know upon arrival if you do not wish to be photographed or recorded, and we will honour your request.
3A. Model Release & Event Recording Disclaimer
WITA occasionally captures photos, audio, or video recordings during programming for cultural celebration, education, and promotional purposes. By participating in our events, you may be included in these recordings.
For featured participants or facilitators, we may request a Model Release + Indemnity Agreement to be signed. For larger public gatherings, we will post a Recording Disclaimer at entrances and gathering spaces.
You always have the right to opt out of media participation — please notify a staff member or facilitator and we will honour your request.
4. Third-Party Facilitators, Elders, and Safety
In some programming, WITA works with trusted third-party facilitators, Elders, Knowledge Keepers, and artists who may engage directly with guests. These individuals are committed to honouring Indigenous protocols, teachings, and the confidentiality of participants.
All facilitators are expected to follow safety protocols and respect the privacy of all visitors. If a visitor discloses personal, medical, or culturally sensitive information to a facilitator or Elder, it will be held in confidence unless disclosure is required for safety or legal reasons.
WITA reserves the right to take necessary steps to ensure the emotional, cultural, and physical safety of all participants, including intervention in cases of emergency, illness, or unsafe behaviour.
5. Confidentiality
All personal and health-related information shared with us will be treated as confidential and will only be accessed by authorized WITA team members and facilitators who require the information to deliver services appropriately and safely.
6. Security
We take appropriate measures to ensure your information is stored securely and protected against unauthorized access, alteration, disclosure, or destruction.
7. Your Rights
You may:
Request access to the personal information we hold about you
Request corrections or updates
Withdraw consent for use of your information at any time (except where required for safety or legal purposes)
